Privacy policy
This policy explains what Cortex Pulse does with data, who is responsible for it, and how to exercise your rights. It applies to the Cortex Pulse apps and to cortexpulse.co.uk. Cortex Pulse is operated by Cortex Pulse Ltd, registered in England & Wales.
Who controls the data
When a business uses Cortex Pulse to run its bookings, that business decides what happens to its customers' information. It is the data controller; Cortex Pulse Ltd is its processor and acts on its instructions under a data-processing agreement. If you are a customer of a business that uses Cortex Pulse and you want your information changed or erased, ask that business — they are the ones who can act on it, and we will support them in doing so.
For the accounts we hold directly — the name, email address and password of a person who signs in to Cortex Pulse — Cortex Pulse Ltd is the controller.
What we collect
- Booking and contact details — the name, phone number, address and job details a customer gives when they get in touch, so the work can be booked and attended.
- Call and message content — recordings, transcripts and messages handled by the AI agent, so a booking is accurate and can be checked afterwards.
- Account information — the name, email address and role of each person who signs in, and which business they belong to.
- Job records — what was booked, who attended, when, and any notes or photos added by the business.
Where it is stored
Data is stored in the United Kingdom or the European Economic Area. We use a small number of trusted providers for hosting, database, telephony and email, each under a data-processing agreement. We do not sell data, and we do not use one business's data to serve another.
How long we keep it
Call recordings, transcripts and job photographs are deleted twelve months after a job is completed. Booking and job records are kept for as long as the business remains a customer, and for six years afterwards where we are required to retain them for tax and accounting purposes. Account records are deleted when the person's login is deleted, except where we must keep proof of a transaction.
Deleting your login
Anyone who signs in to Cortex Pulse can delete their own login from the app, under Settings. This removes their access and their personal profile. It does not delete the business's bookings, customers or job history — those belong to the business, not to an individual login — and it does not end the business's contract.
Your rights
You have the right to ask for a copy of your data, to have it corrected, to have it erased, to object to how it is used, and to complain to the Information Commissioner's Office. Write to accounts@cortexpulse.co.uk and we will respond within one month. If your request concerns data held by a business using Cortex Pulse, we will pass it to them and help them answer it.
Cookies
This website sets no advertising or tracking cookies. The apps store a sign-in token on your device so you are not asked to log in every time; clearing it signs you out.
Changes
When this policy changes we update the version and date at the top of this page, and the same text appears inside the apps.
